VENUE INFORMATION

Set in Melbourne’s idyllic Albert Park, with panoramic views of the lake, Lakeside Pavilion is a premier destination for waterfront events. This newly renovated venue offers an industrial-inspired backdrop complete with dramatic arched windows creating an abundance of natural light – the perfect canvas for your next event.

Venue Housekeeping Services

  • Washrooms are located in the foyer area, just beside the main room.
  • Smoking and vaping are prohibited inside the venue. Please exit the building should you wish to smoke.

 


 

IMPORTANT EXHIBITOR TIMINGS

  • 9.00am - 3.00pm: Allocated pack-in time
  • 2.35pm: Loading dock will be closed
  • 3:30pm - 4:00pm: All exhibitors to arrive for registration
  • 4.00pm - 4.45pm: Networking, a chance for all exhibitors to get to know each other and introduce themselves
  • 5.00pm: Doors open for homeowners and professionals
  • 9.00pm: Pack-out commences until Midnight (we do not have the venue the following day due to other events)

 


 

EXHIBITOR LOGISTICS: ACCESS, DELIVERIES & LOAD-IN

Loading Bay & Access

  • Address: 36 Lakeside Drive, Albert Park, Victoria 3206
  • The loading bay is in the car park connected to the building; this includes the driveway leading towards the venue’s main foyer.
  • Delivery vehicles can park on the side of Lakeside Drive to unload, then will need to repark as required.
  • Please park your vehicle in the appropriate loading areas, advise the Venue Manager of your arrival and the name of your company. Please follow their directions to ensure a successful load-in.

Lift Access & Cranes

  • Lift Access: No lift access is available. Stairs access only, which is suitable for smaller items.
  • Truck Crane: If you need to load in heavier items onto the main balcony entrance, a crane will need to be hired. Items will be craned from the ground onto the balcony. It is then the exhibitor's responsibility to move their items into the room and into place. Please get in touch with us if you require a crane so we can coordinate and direct you specifically to ensure accessibility.
  • Staffing & Equipment: It is the responsibility of the exhibitor to supply or hire sufficient staff for unloading/loading in a timely, safe, and non-disruptive manner. No forklifts, pallet jacks, or trolleys are available at the venue. Should any exhibitor hire an external forklift, details must be shared with us to ensure Lakeside Pavilion is aware.

Lakeside Pavilion Pack-In Requirements (MANDATORY)

The venue is extremely strict on these regulations and will not allow anyone inside the building who is not following them:

  • You must wear covered shoes.
  • You must wear identification at all times.
  • No children are allowed on site.
  • You must provide and wear your own safety hi-vis vests. You will not be permitted onsite without one.

Storage on Site

Storage is strictly limited. If any storage is required prior to, during, or after your activation, this must be arranged with the event’s manager (Torah - event@archipro.com.au) and will be entirely dependent on space availability. Transfer and storage of all items is the responsibility of you, the exhibitor.

Incoming & Outgoing Deliveries

  • Incoming: All incoming deliveries must be scheduled during your pack-in time between 9:00am and 2:00pm on Friday, 16 October. Please ensure all items are clearly identified. Lakeside Pavilion will accept and sign for deliveries but will not be responsible for checking the status/condition of goods or making payments. Alert us of any special deliveries requiring planning.
  • Outgoing: Please ensure all items are clearly identified and labelled. Outgoing deliveries must be picked up by midnight on Friday, 16 October. Items left on the loading dock after the conclusion of the event will be deemed abandoned and disposed of accordingly, unless arranged prior with the event’s manager.
  • Please Note: The venue is not staffed outside of event hours.


 

EXHIBITION SPACE ADD-ONS & AV

If you would like to purchase a pod for your exhibition space or require extra AV (e.g. screens to promote your space), please get in touch with the event's manager (Torah - event@archipro.com.au) who will connect you with the suppliers. 

 


 

RIGGING & CLEANING

  • Rigging & Hanging: For any rigging requirements, please contact the event’s manager (Torah - event@archipro.com.au). Rigging bars are not available above every stand. Check with management before confirming requirements. Ceiling height is 4.8m; however, there are spherical pendant lights hanging from the ceiling.
  • Cleaning: Exhibitors are responsible for keeping their space clean and tidy. Venue staff will not clean a stand unless prior arrangements have been made.
  • Event Waste Management: No provision has been made for exhibition packaging/waste. All waste must be removed by the exhibitors. If you require waste removal/cleaning, let us know and the venue will provide associated costs.



 

HEALTH & SAFETY (MUST READ)

Lakeside Pavilion believes health and safety is paramount for you, your guests, and our team.

Emergency and Evacuation Procedures

  • In the event of an emergency, the Lakeside Pavilion Duty Operations Manager (DOM) is the Chief Warden. You will be briefed on procedures prior to the opening of the event. You are responsible for ensuring your staff are advised.
  • All emergency exits are clearly identified with illuminated green signs.
  • If evacuation is required, remain calm and follow venue staff instructions. The assembly area is towards the carpark connected to the building.
  • You must ensure all fire exits, hoses, alarms, and switches remain visible and accessible.
  • Do not obstruct emergency exits (you must maintain a 3-metre clearance for egress).
  • All events must have a 4(h)x4(w) metre clearance for a fire truck route around the exterior.
  • All temporary suspended fabrics, drapes, etc., must achieve a flammability index of not greater than 12.

Medical Emergencies

  • First Aid: Lakeside Pavilion’s first aid-trained staff can be contacted via front-of-house, F&B, or security staff. Professional services (e.g., Ambulance) can be organised and on-charged.
  • Defibrillators: A defibrillator is located in the office within the venue. Please see venue management.

SECURITY

Lakeside Pavilion has roaming venue security stationed at every access point throughout the event.

 


 

ACTIVITIES REQUIRING APPROVAL (MUST READ)

Via your exhibitor portal, please inform us if:

  • You require gas cylinders or have any naked flame/combustible items (requires a hot works permit and written approval supervised by us).
  • Your stand exceeds 3.5m in height.
  • You are planning to bring any heavy items (> 20kg).
  • You would like to hang anything from the rafters / require any AV assistance.

General Restrictions

  • Exhibitors may not permanently mark, paint, drill, or deface any part of the venue.
  • Do not attach damaging items (gaffer/duct tape, pins, nails, staples, markers, blu-tack) to the venue.
  • Do not install fittings or furnishings to the venue space without prior written approval.

Heavy Items

Factors considered for installing heavy items include: weight (and point-loading dispersal), dimensions, internal transport methods, handling device weight, and raised floor/ramp considerations.

Space Construction & Access

Stand construction must comply with the Building Act 2004 to ensure access, mobility, and trip hazard reduction:

  • All raised floor sections/ramps must be free of sharp edges.
  • Thin decorative flooring (carpet, vinyl) must be taped down or firmly secured.
  • Flooring between 32mm and 115mm high requires a bevelled edge (max 30-degree angle) incorporated within the stand space, not encroaching into the aisle.
  • Flooring exceeding 115mm in height is a step; if occupied by the public, a ramp must be provided within the allocated stand space.
  • Any loose materials must be steady underfoot. The base floor must be protected.

Final Inspection

On the day of the event, the Lakeside Pavilion Management team will carry out a final safety inspection. They reserve the right to remove anything identified as unsafe, and exhibitors must source their own appropriate replacements.
