Collect leads from your website forms
If the ArchiPro Pixel is installed on your website, contact forms on your site can create leads in Business Manager automatically. When someone who reached your website from ArchiPro submits a form with their email address or phone number, they appear in your Contacts section, under Analytics in Business Manager, with the source Your Website, alongside your ArchiPro enquiries and downloads. This article covers what you need in place, what is and is not collected, and your privacy responsibilities as the owner of the website.
Requirements
For a form submission to become a lead:
- The ArchiPro Pixel must be installed on the page. If you are not sure whether it is, contact your account manager.
- The form needs to be a standard HTML form on your page.
- The submission must include a valid email address or phone number. Submissions without contact details are not stored as leads.
Where the form also captures a name, it is included on the lead. Websites built as single page applications are supported.
What is not collected
Some forms and fields are ignored by design:
- Search boxes and site filters.
- The contents of login, registration, and password forms. Nothing typed into them is captured or stored. If the person signing in is a recognised ArchiPro member, they may still appear as a warm lead, based on their ArchiPro profile rather than anything they typed. See Signed-in ArchiPro members below.
- Password fields, hidden fields, and payment or card fields. These are never read, on any form, including where your site uses a plain text box for a password.
- Submissions that contain no email address or phone number.
Limitations
- Forms embedded in an iframe, such as some third party booking or newsletter widgets, cannot be captured because they load from another website.
- Forms that send their data purely through custom JavaScript, without a standard form submission, may not be captured.
Signed-in ArchiPro members
Some of the people who reach your website from ArchiPro are signed in to an ArchiPro account. If one of them submits a form on your site without filling in their contact details, we can complete the lead using the name and email address held on their ArchiPro account, so you can still respond to them.
A few things worth knowing:
- We recognise the visitor from ArchiPro's own record of them, created when they browsed ArchiPro and clicked through to your site. It does not come from anything they typed into your form.
- Anything they do type takes precedence. If they enter their own email address, that is the one used on the lead.
- These leads appear in your Contacts section like any other website form lead.
Because this uses personal information from the visitor's ArchiPro account, disclose it in your website privacy notice alongside your other ArchiPro Pixel disclosures. See Your privacy responsibilities below.
Warm leads
If someone who reached your website from ArchiPro signs in to it, or creates an account on it, we can show them to you as a warm lead: a returning ArchiPro member already engaging with your business. The lead includes the name, email address, company, and industry held on their ArchiPro profile.
- We recognise them from ArchiPro's own record of that member, set on their device when they previously browsed ArchiPro and clicked through to your site. It is not taken from anything they entered on your site.
- Their password and login details are never captured. See What is not collected above.
- Warm leads appear in your Contacts section alongside your other website leads, shown as Signed in on your website.
Because a warm lead uses personal information from the visitor's ArchiPro account, and is created without them contacting you directly, make sure your website privacy notice covers it. See Your privacy responsibilities below.
What we store
For each captured submission, we store the contact details, the other form fields the visitor filled in (excluding the field types listed above), the page the form was on, and the time of submission. This information appears in your Business Manager account, where it is available to your team and to ArchiPro staff.
Turning collection on or off
In Business Manager, go to Analytics, then Settings, and use the Collect leads from website forms toggle. Turning it off stops new form submissions being collected. Leads that were already collected remain in your Contacts section.
Collecting form data and seeing your contacts are two separate things. ArchiPro switches the Contacts section on for your business. If collection is on but you cannot see the section, talk to your ArchiPro account manager.
Your privacy responsibilities
The visitors filling in these forms are visitors to your website, so their privacy is your responsibility. In particular, you should:
- Disclose in your website privacy policy that you use the ArchiPro Pixel and that form submissions may be collected and made available to you through ArchiPro.
- Obtain any consent that privacy law in your region requires for this collection.
- Handle any request from a visitor about their personal information, such as a request to access or delete it. ArchiPro will assist with these requests. Contact support if you receive one.
Do not use your forms to collect sensitive personal information, such as health or financial details, for capture as leads.
