Getting started with Forms (Beta)

Choose what people tell you when they enquire, who receives each enquiry and what happens next, all from Business Manager.

Every enquiry on ArchiPro can now work harder for you. With Forms, you decide what people are asked when they get in touch, who in your business receives each enquiry, and what happens after they press send, from a simple thank-you to a booked meeting.

Nothing to do unless you want to. Your existing enquiry settings have already been copied into a default form, so you'll keep receiving enquiries exactly as before. Make changes whenever you're ready.

What you can do with Forms

  • Know what each enquiry is about before you reply. Ask about the type of work, who they are and whether it's residential or commercial.
  • Send it to the right person. Route enquiries to a teammate, a branch or your company inbox based on the answers.
  • Take bookings on the spot. Let people pick a time from your live calendar instead of emailing back and forth.
  • Turn browsers into leads. Offer a brochure, price guide or lookbook in exchange for contact details.
  • See it before anyone else does. A live preview shows exactly what visitors will see, and nothing is sent while you test.

Find Forms in Business Manager

Log in to Business Manager and select Forms in the left-hand menu (1). You'll see your default enquiry form. Select Edit form (2) to change it, or New form to create another.

The Forms page: your forms, who receives enquiries, and which buttons open which form.

Only admins can create or change forms. Everyone else in your team can view them.

Create a form from a template

Select New form and pick the template closest to what you need. Everything can be changed afterwards. The template just saves you setting it all up from scratch.

The four form templates: General enquiry, Brochure download, Book a meeting and Website contact form

  • General enquiry: people send you a message and you reply.
  • Brochure download: people leave their details and get a file straight away.
  • Book a meeting: people pick a time with you from your live calendar.
  • Website contact form: put the same form on your own website, with your own questions and styling.

Each form is set up in a few short sections. Start with Basics:

The Basics section of the form editor with the live preview on the right

  1. Form name: only your team sees this. It's how the form is listed on the Forms page.
  2. Button says: the wording on the button that opens this form. Leave it on Auto optimise and we'll choose the best wording for each page, or pick your own, such as Request a quote, Book a consultation or Download brochure.
  3. Introduction: an optional line at the top of the form, for example "We'll be in touch within one business day."

On the right, the Form preview updates as you edit. It's the real popup visitors see, so fill it in and send it to see what happens next. Nothing is sent while you test.

When the checklist at the top right shows every section ready, select Create form.

Ask the right questions

Name, email, phone and suburb or postcode are always asked. Under What people fill in, add the questions that help you qualify each enquiry:

The What people fill in section with enquiry types, who they are and residential or commercial switched on

  1. What is your enquiry about? A dropdown of enquiry types you write yourself, such as New build, Renovation or extension or Kitchen or bathroom.
  2. I am a... Homeowner, architect or designer, or supplier or trade.
  3. Is this residential or commercial?

You can also turn the message box off for a details-only form, such as a brochure download. Book a meeting and website forms can also include your own questions, such as a budget range or timeframe.

Tip: these answers are what let you send each enquiry to the right person. See Send each enquiry to the right person.

Choose which button opens which form

On the Forms page, scroll to Put the right form in the right places. Each type of page on ArchiPro (projects, products, your profile and articles) has an Enquire button and a Book a meeting button.

The page buttons grid, showing which form opens from each button on project, product, profile and article pages

  1. Select a button to choose which form it opens, or hide it.
  2. The Book a meeting button stays hidden until you choose a form for it.

Ideas for professionals and product suppliers

Architects, designers and builders

  • Ask for the project type up front, and send kitchen and bathroom enquiries to the person who specialises in them.
  • Put a Book a consultation form behind the Book a meeting button on your project pages.
  • Only take residential work? Show a friendly message to commercial enquiries instead of sending them to you.

Product suppliers and brands

  • Send trade and specifier enquiries to your trade team, and homeowner enquiries to your showroom.
  • Got several showrooms? Ask which branch, and preselect the one nearest the visitor.
  • Change the button on your product pages to Request a quote or Request a price, or offer your price guide as a download.

Where your enquiries arrive

Enquiries land in your ArchiPro Company inbox, with the visitor's answers shown above the conversation, so you know what they need before you read the message. They're also emailed to whoever the form sends them to. For your company inbox, choose who gets those emails under Team > Notifications.
