Privacy & Security with Email Integration

This article addresses any concerns around your privacy and security with integrating your email with ArchiPro Messenger.

When you connect your Outlook/Microsoft 365 account to ArchiPro, we request specific permissions that allow Messenger enquiries to be delivered directly to your inbox - and let you reply via email while keeping your communication thread in sync on ArchiPro.

We understand how sensitive email access is. That's why we follow best-practice privacy and data-handling policies, and only request the minimum access required to enable this functionality.

What data does ArchiPro access?

ArchiPro only accesses email data related to enquiries sent through ArchiPro Messenger. We do not read or store any unrelated emails, attachments, or calendar events.

We access:

  • The original message content sent via ArchiPro Messenger

  • Your reply to that message (if sent via email)

  • Associated metadata (such as message timestamp and email address)

We do not access:

  • Any emails in your inbox outside of ArchiPro messages

  • Your personal contacts

  • Your calendar events or documents

Why does ArchiPro need access to your email?

Email integration enables:

  • Delivering Messenger enquiries directly to your inbox

  • Allowing you to reply to enquiries directly from your email

  • Ensuring that replies are logged back into your Messenger thread on ArchiPro

  • Letting team members collaborate and track client communications more effectively

This access is not used for marketing, advertising, analytics, or any form of unsolicited communication.

What permissions are requested?

For Microsoft 365 (Outlook)

  • Read and send mail from your mailbox

  • Maintain connection to your account

You may need to obtain admin consent if your Microsoft 365 account has restrictions in place for third-party access.

Can I revoke access?

Yes - you’re always in control.

To disconnect your email integration, in your Business Manager visit Profile > Team > Email Integrations, and select 'Disconnect' for the connected email provider. 

You can also revoke access via your Google or Microsoft account settings directly.

Disconnecting your email account revokes access immediately. Messages already stored in ArchiPro will remain in your account unless deleted. 

Your responsibilities

To protect your organisation:

  • Only connect email accounts you’re authorised to use

  • Use shared business inboxes where appropriate

  • Ensure your team follows your internal privacy and IT policies

We recommend that admins review connected accounts regularly for security and compliance.
