Milestone Email Notifications

ArchiPro now sends Milestone email notifications whenever something significant happens with your content — for example, when someone downloads your spec sheet, or a key conversion happens on ArchiPro or by an ArchiPro user on your own website. These emails require ArchiPro Pixel to be installed to provide a more complete picture.

You’ve always been seen on ArchiPro. These notifications let you understand the journey behind it. By the time a prospect undertakes an action, they’ve usually done most of their research: visited your profile, downloaded your spec sheet, perhaps come back a second time or shown a colleague. Milestone emails make that journey visible as it happens.

Each notification is written by ArchiPro Analytics and tells you who engaged, what they did, where they came from, and what that moment means. Below we’ve answered the questions we hear most often.

1. What information does the email contain?

Each Milestone email summarises a meaningful moment of engagement. You’ll see:

  • Who interacted with your content (typically anonymous details: location and company name, if known)
  • What they did. For example, saved a project, downloaded a spec sheet or clicked through to your own website.
  • What that moment means in the context of their broader buyer journey

2. Why am I receiving these?

This service was progressively activated for clients in April & May 2026 and you’re receiving Milestone emails because your email address is listed under Profile Activity Notifications on your company’s ArchiPro Business profile.

They exist to give you visibility you’ve never had before: a clear view of how prospects engage with your profile in the weeks or months before they ever enquire. Think of the steady flow of these emails as the pulse of activity your profile is generating on ArchiPro; each one is a signal that your content is doing its job.

3. Who receives the email, and how do I add other people?

Milestone emails go to every email address listed under Profile Activity Notifications on your Business profile. You can add or remove recipients at any time:

  1. Log in to ArchiPro and open Business Manager.
  2. Go to Settings, then Notifications.
  3. Scroll to Profile Activity Notifications.
  4. To add someone, type their email address into the field and press Enter. To remove someone, click the × beside their address.

One thing to note: the person you’re adding must be a member of your company’s ArchiPro Business profile. If they’re not listed, ask the person who manages your profile (your profile administrator) to add them first.

4. When will I receive them?

Milestone emails are sent approximately 24 hours after the event that triggered them. We wait deliberately: it lets us capture the full set of actions a person takes across a day and bring them together, rather than sending a separate email for every single click. The result is a clearer, more useful summary, and a tidier inbox.

5. There’s a visitor and a company shown in the email — can I contact them?

In almost all cases, no — and there’s an important reason why.

The visitor and company details in a Milestone email are shown for your awareness only, so you can see how prospects are engaging with your profile. They are not contact details, and they must not be used to contact, market to, or otherwise approach the visitor or their organisation. Depending on where you operate, doing so could breach your local privacy laws. You’ll find this same reminder at the top of every Milestone email.

ArchiPro operates with transparency and integrity, and we ask our clients to do the same. We trust you to do the right thing here — it’s a big part of what makes the ArchiPro community what it is.

The one exception: gated file downloads

When a visitor downloads a gated file from your profile — such as a spec sheet — they agree, as part of that download, that their email address will be shared with your company. In that specific case the visitor has consented to be contacted, so you’re welcome to follow up with them directly. Every other interaction shown in a Milestone email remains for your awareness only.


6. Do I need ArchiPro Pixel installed?

To get the full picture, yes. ArchiPro Pixel connects the activity on your own website back to ArchiPro, with full context. With Pixel in place, when someone lands on your website from ArchiPro and takes an action, you’ll hear about it in a Milestone email and understand what it means.

7. I’m receiving a lot of these — how do I manage them?

A steady stream of Milestone emails is a good sign — it’s the pulse of activity your profile is generating, and more of it usually means more interest in your products. If you’d like to keep your main inbox clear while still keeping every notification on hand, the simplest approach is to file them automatically into a dedicated folder.

Most email systems let you set up a single rule (sometimes called a filter) that moves these emails into a folder as they arrive — out of your main inbox, but always easy to find. You’d filter on the ArchiPro sender address (noreply@archipro.co.nz for New Zealand or noreply@archipro.com.au for Australia), optionally narrowing to the subject line “an ArchiPro”, and move matching emails into a folder such as “ArchiPro Milestones”.
